Invitation to Submit

On behalf of the Program Committee, you are invited to submit a proposal for a presentation at the 2019 AASTN Conference. You can propose to deliver a oral/novice oral, workshop or, poster/novice poster.

Authors are invited to submit 250 word abstracts for possible inclusion in the conference program. Submissions are due by 21 November 2018 and must be submitted through the Presentation Portal. Authors will be notified of acceptance 19 December 2018.   Accepted presenters are required to register for at least the day on which they are presenting by 23 January 2019 to confirm their place in the conference program.  Abstracts selected for all presentation types will be made available on the conference website and through the conference app.

Presentation Portal


To submit a presentation you will be asked to enter your email address and create a password.

Once you have created an account you can submit abstracts. You can log back in to submit more abstracts and to register for the conference.


The Program Committee will review all submitted abstracts and will allocate abstracts to the program taking into account the quality of each abstract and the balance of the program. Abstracts are expected to be of relevance to the field and of interest to the participants.

As there are limited places for oral presentations some abstracts submitted for oral presentation will be considered for a poster. Authors in these cases will be advised and asked to confirm whether they wish to present a poster.


All initial submissions must be made using the provided abstract template.  Once accepted authors can make minor adjustments/updates only.  Poster authors must have an abstract accepted before proceeding to produce their printed poster.

We anticipate oral presentations will be allocated 15 minutes, which includes 3 minutes for question time.

We anticipate first time oral presentations will be allocated 10 minutes, which includes 3 minutes for question time.

We anticipate workshops will be allocated 40 minutes.  Workshops should involve a significant degree of participation from those in attendance. It is not meant to be a lecture.

Posters should be A0 size (A0 size is 841mm x 1189mm) in portrait orientation.  Click here for hints on preparing your poster.  Posters will be displayed in the catering and exhibition area for the duration of the conference.  Authors can also supply digital versions for display on the Delegate App.


  1. Prepare your abstract
    Prepare your 250 word abstract text. This applies for oral, poster and workshop submissions
  2. Enter your contact details
    Go to the Presentation Portal (above) to enter your contact details.
  3. Enter Presenter and Author details
    Enter names and affiliations of the presenter and authors.  Also enter brief biography of the presenter(s), 100 words is sufficient.
  4. Enter your abstract details
    ‘Cut and Paste’ the abstract text 250 words and into the relevant field in the Presentation Portal.


For each abstract you submit you will be asked to enter the following information:

  • Presentation title
  • Preferred presentation format
  • Theme
  • Name/s of author/s
  • Affiliation/s of author/s
  • Indicate the presenter
  • Short (100 word) biography of the presenter(s)

Presenters Registration

All presenters will be required to register for the conference and pay the appropriate registration fee by 23 January 2019. Presenters also need to meet their own travel and accommodation costs except where exceptions have been made by the organising committee.

Audiovisual Equipment

Each session room will be equipped for the presentation of PowerPoint slides and include a data projector, computer with external speakers, lectern and microphone.  We recommend preparing presentation slides in 16:9 ratio format to suit the widescreen format of the venue audio visual setup.

Presentation Files

Presenters will take their Power Point slides to the meeting on a memory stick, where an audiovisual technician will load your presentation in the Speakers Preparation Room.  We recommend you load your presentation the day prior to your scheduled presentation time if possible.  Check the program for the Speakers Preparation Room opening times.

Video and audio clips should be embedded in your Power Point slides rather than linking to external files.

All slides will be run from a central presentation computer. However, if you have a complex presentation, which includes multiple media files, we suggest you bring your own laptop as a backup in case of difficulties loading your presentation.
